Reception checklist Choosing the wedding reception site is usually one of the bride and groom's greatest concerns.
Usually the bride and groom will consider several sites before finally settling on one. As you analyze a possible reception site, try to arrange a visit to the site and also make sure you get their offer in writing and with as much detail possible. This will allow for an easier comparison between the different offers you choose to consider, once back at home.
Here is a checklist you can use when you consider a wedding reception site:
- What menus are available?
- How much will it cost per person? Will the cost vary according to the reception date or other factors?
- Is it possible to alter the menu?
- How will the menu be served?
- What type of table will be available for the bride and groom? What type of table will be available for the guests (round, oval, square)?
- Are beverages included in the price? If so, which are the included beverages?
- Are the hors d'oeuvres included in the price? If so, will waiters be serving them to the guests or will they simply be available for the guests to help themselves?
- Is an open bar included in the price?
- Who will be decorating the reception site?
- Is music available at the site?
- Is any extra included in the quoted price?
- Is any extra available but not included in the quoted price?
- How many waiters will be serving the meal? 8 to 10 guests per waiter is the number to look for if you don't want the guests waiting for too long.
- Does the site have references available? Can they show you photos of weddings they have done recently?
- Is it possible to visit the site on a day a wedding is scheduled (before the guests arrive obviously)? This will allow you to see practical aspects like the way the tables are set or the way the waiters dress.
- Is it possible to try out the dishes that are on the menu beforehand?
- How does the reception site usually handle the cutting of the wedding cake?
- Is there an hour limit to the reception? Can the reception end after that limit by paying a certain fee?
- When must the site's reservation be confirmed? When must the number of guests be confirmed?
- Is it necessary to pay for the reservation? How much?
- What are the payment methods available?
- Do any of the payment methods entitle you to a discount?
- What is the policy in case of guests that don't show up?
- Will there be an invoice/receipt for the amounts paid?
